Privacy notice

Information we collect

We may process building and lease information, director and leaseholder contact details, payment and service-charge records, contractor quotations, insurance records and documents uploaded to the portal.

Why we use it

We use this information to answer enquiries, take steps towards a contract, provide the agreed building-management service, comply with legal obligations, keep appropriate records, communicate about payments and works, obtain requested quotations and protect the service. Depending on the activity, our lawful basis will usually be contract, legal obligation, legitimate interests or consent.

Forms and onboarding

Website enquiries and onboarding summaries are routed to us using FormSubmit, a third-party form-delivery service. Lease documents uploaded through the setup form are stored in protected document storage; the email summary contains the filename rather than the lease attachment. Do not use the general contact form for bank details, special-category information or lease documents.

Who receives it

Access is limited to authorised staff and service providers and, where instructed or required, insurers, brokers, contractors, payment providers, professional advisers, regulators and other parties needed to administer the building. We do not sell personal information.

How portal access works

The client portal uses email-and-password authentication. Passwords are processed into salted cryptographic hashes and are not stored as readable text. Setup records are linked to the email address marked “This is me”, and leaseholders receive time-limited invitation links. Portal information is protected by server-side ownership and role checks.

Payments

No payment is taken through the setup form. Where a separate payment link or Direct Debit is arranged, the relevant payment provider processes the transaction and we do not receive your full card details.

Retention and security

We retain information only for as long as needed for the service, legal, tax, insurance and dispute-record purposes. Exact periods depend on the record and the building appointment. We use access controls and protected online storage, but no internet service can promise absolute security.

International processing

Some technology providers may process information outside the UK. Where this happens, we require an appropriate legal transfer mechanism and suitable safeguards.

Your rights

You may ask for access, correction, restriction, deletion, objection or a copy of your information where the law provides those rights, and may withdraw consent where consent is the basis used. You may also complain to the Information Commissioner’s Office at ico.org.uk.

Updates

We may update this notice as the service and suppliers change. The version displayed on this page applies from 20 September 2026.

Contact us before sending another person’s details and make sure you are authorised to provide them. This notice should be read with your building’s signed management appointment.
